Open positions at Estetica Istanbul

Estetica Istanbul is a medical-travel agency working out of an office in Kadıköy, on the Asian side of Istanbul. We look after people who fly here for surgery — from the first message to the flight home. It is a small team, so what you do is visible immediately and nobody is a number here. These roles are on-site in Kadıköy and partly in the field — at the hospital, in the hotels, at the airport. Below is what we are hiring for right now.

Patient Manager — operations, interpreting and sales · English & Turkish, plus German, Italian, French, Spanish, Portuguese or Polish

Kadıköy, Istanbul · office and field — hospital, hotels, airportFull-time · salary for the operations side + commission on your own sales · two positions open

Think of a doctor’s assistant, except the doctor is a whole agency. When a patient lands in Istanbul, you are their person: dates, hotel, hospital, the words coming out of the surgeon’s mouth, the drive back to the airport. It does not matter who sold them — our reps here in Istanbul, our Beauty Planners, our representatives abroad, or someone who joins next month. The sale ends, you begin. You also stay with the patients who flew home months ago, through the year of follow-up that comes after surgery. That is the operations half, and it is what your salary pays for. The second half is sales: you work new enquiries in the languages you speak, and you keep a commission on everything you close yourself. Operations is the floor, sales is the ceiling. We are hiring two people so that neither of you is ever the only one who knows where a patient is.

What you will do

  • Take the patient over the moment the sale closes — whoever closed it — and organise their whole stay: surgery dates, hotel nights, hospital appointments.
  • Cover every source equally: patients sold by our reps in Istanbul, by our Beauty Planners, by our representatives abroad, and by whoever joins the team next.
  • Be there when they land, and stay reachable in person while they are in Istanbul.
  • Interpret face to face — consultation, admission, ward rounds, discharge. This is the part nobody else can do for them.
  • Talk to the hotels and the hospitals every day, in Turkish, and fix things before the patient ever notices them.
  • Organise every transfer — airport, hotel, hospital, and back again.
  • Collect and chase the documents each case needs before surgery.
  • Carry the post-op year: the check-ins, the photos, the “is this normal” messages, and the patients who had surgery long before you joined.
  • Keep every patient record accurate and current in our systems (Bitrix24, Airtable).
  • Sell. Work new enquiries in the languages you speak, quote them, follow them up and close them — this is where your commission comes from.

What we are looking for

  • A four-year university degree (lisans), from a Turkish university or one recognised by YÖK. The subject does not matter to us — with one exception, explained in the FAQ below.
  • One of these three — any one is enough: a YDS score of 70 or above (level C) in a foreign language, taken within the last two years, or an ÖSYM-recognised equivalent; or a degree from a language, literature, teaching, translation or interpreting programme; or a degree from a university abroad. If you have none of them yet, say so in the form — we would rather talk about exam dates than close the door.
  • Fluent English and Turkish — both are used every day, with patients and with the hospital.
  • Plus at least one of German, Italian, French, Spanish, Portuguese or Polish, at a level you can both reassure a nervous patient and sell in. More than one is a real advantage, not a requirement.
  • Based in Istanbul or ready to relocate — this role is on-site in our Kadıköy office and out in the field.
  • Organised and calm when several things move at once. You will carry around ten patients a month plus a long tail of post-op cases, and you will often be the only person who knows exactly where each of them is today.
  • Comfortable inside a hospital — corridors, wards, a patient in pain, a surgeon in a hurry.
  • You want to sell, not just coordinate. The operations half pays your salary; the sales half is how you actually earn, and it rewards people who chase a reply instead of waiting for one.
  • You already work with AI tools every day — ChatGPT, Claude or similar — to draft, translate, summarise and get through admin faster. This one is not negotiable: it is how this company runs, and you will be expected to reach for them before you reach for a colleague.
  • Bitrix24 and Airtable are a strong plus — they are what we actually run on. If you have not used them, you need to be the kind of person who learns a new tool in days, not months.
  • Experience in healthcare, tourism or hospitality is a plus, not a requirement — experience, which is not the same thing as a clinical degree here. The FAQ explains the difference.

What we offer

A salary, and a ceiling you set yourself

The operations side is salaried — that money arrives whether or not you sell. On top of it you take commission on every sale you close yourself, and there is no cap on that half.

A small team where your work is visible

We are not a call centre with a hundred desks. What you do lands on real patients the same week, and you will see the result.

Your languages are the job

English and Turkish every day, plus your European language with the patients who need it — and with the ones you sell to. This is a rare role where being multilingual is the work itself, not a line on your CV.

Real responsibility, quickly

Once a patient is yours, they are yours — no matter which rep, Beauty Planner or overseas representative sold them. There is no layer of managers between you and the decision.

An international, growing company

We work across Italy, Türkiye and increasingly the rest of Europe and the English-speaking markets. The company is growing, and so is the role.

How to apply

Three steps. We move quickly — we would rather talk this week than next month.

1

Send your application

Fill in the form below. Tell us your degree and programme, whether you hold a YDS or equivalent certificate and from which year, and honestly which languages you speak and at what level.

2

A conversation

If it looks like a fit, we get in touch on WhatsApp and arrange a call — partly in English, partly in Turkish, and partly in whichever third language you bring.

3

Meet the team

A final conversation about the day-to-day, the terms and when you could start.

Istanbul

Where you would work

Istanbul, alongside our partner hospitals and clinics. You will spend your time between the office, the hospital and the hotels our patients stay in — not behind one desk all day.

Frequently asked questions

What is this job, in one sentence?

You are the patient’s person in Istanbul — the way a doctor’s assistant is, except you work for the agency rather than the clinic. You run everything that happens after the sale, for every patient assigned to you, and you also sell in your own languages.

Whose patients do I look after?

Everyone assigned to you, regardless of who sold them: our reps here in Istanbul, our Beauty Planners, our representatives abroad, people who join the team after you, and patients you sold yourself. You also carry the post-op year for patients who had surgery long before you arrived. Selling and looking after are two different jobs here, and you do both.

Is this operations or sales?

Both, and that is deliberate. Operations is the fixed part and it comes first: the patients handed to you have already paid us, and letting one of them down costs more than any single sale. Sales is the part with no ceiling — you work new enquiries in your own languages and keep a commission on what you close. In practice most of your week is patients who are already ours, and the rest is new ones.

Is this an employed position?

Yes. A salary, paid for the operations side of the job, plus commission on the sales you close yourself. If you are looking for commission-only collaboration instead — as a salon, a remote closer, a creator or a clinic — that is a different page, linked below.

Why do you ask for a university degree and a language certificate?

Because this position is registered under the Ministry of Trade’s service-export support programme (Hizmet Sektörleri Atılım Programı), and the programme sets the conditions: a four-year university degree, and either a YDS 70 or recognised equivalent from the last two years, a degree in a language, teaching or translation programme, or a degree from a university abroad. The same rules mean that graduates of clinical health programmes — medicine, dentistry, nursing, midwifery, nutrition and dietetics, medical imaging, operating-room services — cannot be employed in this particular position. That is not a judgement about you or your work; it is the programme’s rule, and we would rather say it here than after an interview.

Do I need healthcare experience?

No. Experience in healthcare, tourism or hospitality helps, but we care far more about organisation, calm, the languages and whether you can sell. We will teach you the medical side. Note the difference between experience and a clinical degree — see the question above.

Do I need to be technical?

Not a developer, no. But you do need to be genuinely comfortable with AI tools — we use them daily to draft patient messages, translate, and cut the admin down — and with Bitrix24 and Airtable, which are where every patient and every document lives. If a new tool takes you months to learn, this is the wrong role. If you are the person who works out a new tool over a weekend, you will do well here.

Do I really need all three languages?

Yes. Turkish is how you talk to the hospitals, the hotels and the drivers; English is how the team works; and your third language — German, Italian, French, Spanish, Portuguese or Polish — is what the patient actually hears when they are nervous, and what you sell in. All three get used every day, so this is the one requirement we cannot flex on. Any one of the six is fine; more than one is an advantage, not a requirement.

Do I need to already be in Istanbul?

Not necessarily, but the role is on-site in Istanbul, so you need to be there or ready to relocate. Tell us your situation in the form and we will be straight with you about what is possible.

What if none of the open roles fit me?

Apply anyway and say what you do. We are a growing company and we keep good speculative applications on file — several people on the team started exactly that way.

Looking to collaborate, not to be employed?

If you own a salon, have an audience, run a clinic, or want to work with us remotely on commission, that is a partnership rather than a job — and it has its own page.
